Our Property Management Service Offering is comprised of:
1. Leasing
Dreamville Management staff leases properties under a leading project management firm and our professional team is able to:
- Keep an accurate record of number and availability of units.
- Accompany all viewings with potential tenants.
- Initiate a complete post-viewing follow-up.
- Advise on all offers in writing, providing a profile of the client.
- Provide complete regular reviews of viewing number and leasing rates and provide updated market advice and recommendations at regular intervals.
- Collect all payments prepare and arrange for the client to sign all Tenancy Contracts whilst collecting all the paperwork necessary under leasing requirements.
- Prepare a Condition Report to ascertain any outstanding maintenance or cleaning requirements prior to occupation.
- Hand over all payments, documentation, etc. to the Property Management division who ensures that the handover and follow-up with the client is of a high standard.
2. Administration and Dispute Resolution
In order to manage a property, an experienced Property Administrator is assigned. The Property Administrator operates under the normal hours of operation for Dreamville Properties Limited. We provide a Property Administrator with excellent customer relations and administrative skills, who reports directly to the Portfolio Manager. The Property Administrator handles all complaints being submitted by tenants; such complaints may be maintenance related to or regarding incidents within the property. All complaints, requests and incidents are followed up and resolved quickly to maintain good tenant relations.
3. Marketing
In order to attract tenants quickly, we advertise vacant properties throughout our vast marketing network. This network includes magazines, daily print advertising, strategically targeted email campaigns, location signage, online marketing and a network of agents.
4. Rent Collection and Lease Management
The Property Administrator maintains a register of the commencement and expiry details of all leases on our computerized management system. All lease renewals are handled and completed by Dreamville Properties and all requests from tenants are submitted to the management office. All such requests are then be submitted to the Property Owner for consent along with our recommendations and all of the necessary information regarding the request.
During the day-to-day running of a property, the Property Administrator identifies any breaches of the lease agreement or rules and regulations of the unit by the tenants. We advise on the appropriate course of action for each individual case.
5. Property Maintenance and Services
Throughout the duration of each tenancy in client property, Dreamville Properties conducts regular internal and external inspections. These inspections ensure that tenants are maintaining the property, as well as detect any minor maintenance issues that may arise. If a property does happen to require maintenance, we arrange for such maintenance to be undertaken in a professional manner. Repairs are closely monitored for quality and the work is carried out so as to cause as little inconvenience to the tenants as possible.
6. Reporting and Financial Management
We provide a full set of accounts summarizing all financial transactions on the property including all receipts and payments, cash reconciliation, funds supplied for management, direct payments, disbursements, direct banking, commission schedules and arrears. We submit expense reports and revenue reports along with continual monitoring of the rental market.
7. Property Management Software
Dreamville Properties is in a position to provide Property Management Software which has an assortment of customized reporting options and portal access for owners. Dreamville Properties processes the following for the management clients with a myriad of customized, client specific reporting options upon request:
- Processing monthly vendor expenses from rent proceeds.
- Collection of monthly rent payments.
- Tracking maintenance requests and associated repair costs.
- Monthly statements with detailed income and expense breakdown.
8. Legal Guidance
Our team is well informed about the legal provisions that regulate the property market i.e. The Constitution, The Landlord and Tenant (Shops, Hotel and Catering establishment) Act Cap 301, The Estate Agents Act Cap Cap 533, The Valuers Act Cap 532, The Land Act of 2012, The Distress for Rent Act Cap 293, The Rent Restriction Act Cap 339, The Public Health Act Cap 242, The Auctioneers Act Cap 526, Occupational Safety and Health Act of 2007, Environmental Management and Coordination Act of 1999. We are committed to the law and we always act in the best interest of our clients.
9. Legal Disclaimers
Any legal Issues raised in conjunction with tenant issues are dealt with by the Landlord preferred legal team accordingly and promptly with the Property Owner’s consent. However, the fees for any such cases forwarded to the courts or Rent tribunals and not recovered from the tenant are borne by the property Owner.
